If you run a real estate agency, a property-management desk or a gestorรญa, identifying a client is not optional paperwork โ it's a legal obligation. Deposit contracts, AML checks, guest registration, KYC files: every one of them starts with someone proving who they are. In 2026, the way they prove it is changing.
Since 2 April 2026, Spain's official MiDNI app carries the same legal weight as the plastic card for in-person identification, and both public bodies and private businesses are required to accept it. That deadline came from Royal Decree 255/2025, which gave organisations twelve months to adapt their processes after the digital DNI launched in April 2025 (La Moncloa).
So when a client walks in and hands you their phone instead of a card, you can't wave it away. Let's look at what actually changes at the counter.
How MiDNI works at the point of contact
MiDNI moves the DNI from your wallet to your phone. When a citizen needs to identify themselves, the app generates a fresh QR code in real time, connected to the National Police servers. You scan that QR, face to face, and the verification confirms the identity on the spot (OCU).
Three properties of that flow matter for anyone who identifies clients:
- The QR is single-use and time-limited. A screenshot or a photo taken from another device is rejected โ verification only accepts a code freshly generated on the holder's phone (Xataka Mรณvil).
- The app blocks screenshots. If the holder tries to capture the screen, it goes blank. That's deliberate security design, not a bug.
- It is in-person only. MiDNI cannot be used for remote authentication or electronic signature, it doesn't work for international travel, and โ after a precautionary suspension by the Central Electoral Board in March 2026 โ it can't be used to vote. It only works inside Spain (Veridas).
What breaks in your old workflow
Most agencies built their identification routine around one habit: photocopy or photograph the DNI. That habit no longer fits.
You cannot photocopy a QR. You cannot store a screenshot of MiDNI โ the law prohibits keeping photos or captures of the digital ID for data-protection reasons, and the app won't let you take one anyway. What you *can* do is read the QR to confirm the person in front of you is who they claim to be, and then record the data you're actually entitled to keep.
That distinction is the whole point. Verifying identity and *storing a copy of the document* are two different acts, and the digital DNI forces you to separate them cleanly. Practically, at the counter this means:
- Have a way to read the QR (a compatible reader or scanner) so a MiDNI holder isn't turned away.
- Capture only the fields your process needs โ full name, DNI number, dates โ not an image of the card.
- Feed those fields straight into your CRM, contract or KYC file instead of re-typing them.
The physical DNI isn't gone โ expect a mix for years
Here's the reassuring part: MiDNI complements the physical card, it doesn't replace it. Plenty of clients will still hand you a plastic DNI, a passport, a residence card or a foreign ID. Non-residents, tourists and anyone who hasn't installed the app will keep using paper.
That means your identification process has to handle both worlds at once for the foreseeable future: a scannable QR from a Spaniard's phone, and a physical document from everyone else. Any workflow that only works for one of them will leak.

The bigger shift: the EU Digital Identity Wallet
MiDNI is a national, in-person tool. The change that will reshape *remote* client onboarding is European.
Under eIDAS 2.0 (Regulation EU 2024/1183, in force since 20 May 2024), every EU member state must make at least one European Digital Identity Wallet available to its citizens by December 2026 (Gataca). Unlike MiDNI, the EU Wallet is built for online use: it holds verified credentials the holder can share with selective disclosure, and for KYC and AML a verified identity from the Wallet meets the highest assurance level (IDnow).
The mandatory-acceptance clock for private business runs a bit later โ regulated sectors such as banking, real estate finance and telecoms are expected to have to accept the Wallet by late 2027 (Docusign). But if you onboard clients remotely, that's the direction of travel: less friction, cryptographically verified identity, no more chasing blurry ID photos over email.
What to do now
You don't need to rebuild everything this quarter. You do need to stop assuming every client shows up with a plastic card. A short checklist:
- Make sure a MiDNI QR can be read at your point of contact so nobody is turned away.
- Separate "verify" from "store." Confirm identity via the QR; keep only the data you're legally allowed to retain, not an image of the document.
