What a full VAT invoice must show (HMRC VAT Notice 700, 16.3.1)

A VAT-registered business must show these details on a full VAT invoice. Your customer needs them to reclaim the VAT as input tax.

  • A sequential invoice number that uniquely identifies the document
  • The time of supply (tax point), and the date of issue if different
  • Your name, address and VAT registration number
  • The customer's name and address
  • A description sufficient to identify the goods or services
  • For each description: quantity or extent, VAT rate and amount excluding VAT
  • The total amount excluding VAT and the total VAT, in sterling

Simplified invoices of £250 or less

If the supply is £250 or less and the customer agrees, a simplified invoice may show just your name, address and VAT number, the time of supply, a description, and for each VAT rate the total including VAT and the rate (VAT Notice 700, 16.6.1). The tool reads the total and applies these reduced requirements automatically.

The most common mistakes

  • The customer's address is missing: only a company name under “Bill to”.
  • The VAT registration number shown is the customer's, not the supplier's.
  • An account or order number instead of an invoice number.
  • A single line such as “work as agreed” with no quantity or extent.

Invoices from Germany

Switch the check to Germany for invoices from German suppliers: § 14 UStG also requires the date of supply even when it equals the invoice date, and from 2027 German businesses must issue domestic B2B invoices as e-invoices.

How the check works

We read the invoice with OCR and ask a separate yes/no question for each required detail. If an answer isn't clear, we mark the item in amber instead of guessing. We also check the arithmetic: net + VAT = total, base × rate = VAT and the sum of the lines. The file is deleted after processing.

Frequently asked questions

Is the check free?

Yes. Without an account you can check up to three invoices a day. A free account gives you 20 pages a month for more invoices and Excel export.

Can I forward invoices by email?

Yes, with a free account. Each account has its own email address: forward invoices to it, or give it to your suppliers and set up a forwarding rule in your inbox. Every PDF or image attached is processed automatically and shows up in your account, just like documents sent by WhatsApp or uploaded.

Does it check that the amounts are right?

It checks that they add up: net plus VAT equals the total, base times rate equals the VAT, and the lines add up. It doesn't check whether the VAT rate is the right one for the supply — that's a matter for your accountant.

What happens to my invoice?

The file is processed only for the check and then deleted. The extracted data is removed automatically after 30 days.

Does the invoice need a separate tax point?

Only if it differs from the invoice date. If there is one date, it is taken as the time of supply.

Does it work with photos?

Yes. PDFs and photos of up to two pages. With blurry photos the tool marks uncertain items for you to check.
