How it works
1. Upload the document
A photo or PDF of the ID card or passport, also from your phone, by WhatsApp, Telegram or email.
2. Fill in what's missing
The Ministry asks for each guest's home address and a phone or email, plus the booking details and payment method. They aren't on the document: you enter them once if everyone shares an address.
3. Download the XML
An XML file in the official traveller-report structure, ready for «Alta masiva» in the SES.Hospedajes web application.
What each guest carries
The XML follows the structure of the Ministry of the Interior's official bulk-upload instructions and the codes in its tables.
- Given name, first and second surname: separate on a Spanish DNI, a single surname on a foreign passport
- Document type and number: NIF for the DNI, NIE, passport (PAS) or other, with the DNI letter checked
- DNI support number, which the Ministry requires for NIF and NIE: read from the first line of the MRZ, with its check digit
- Date of birth, sex (H, M or O) and nationality as a three-letter code
- Full home address with the INE municipality code if in Spain, a phone or email, and the relationship for minors
The rules that matter
- The communication must be sent within 24 hours of the booking being formalised or of check-in.
- It applies to anyone lodging people in Spain, professional or private; the Ministry put it into operation on 2 December 2024.
- Each guest carries a home address, minors included, and minors state their relationship to an adult.
- Any change needs a new communication, and infractions are fined from 100 to 30,000 euros depending on severity.
Why an XML instead of the form
The portal's form makes you type each guest one by one. With «Alta masiva» you upload the whole booking at once: the details come from the document, the codes are the official ones, and you type the address and stay details only once. For a family or a group it is the difference between a quarter of an hour of typing and a couple of minutes.
Frequently asked questions
Does WhappScan send the report to the Ministry?
No. You download the XML and upload it yourself, with your own SES.Hospedajes access, in «Alta masiva». Your Ministry credentials never pass through us.
Will the portal accept it?
The file follows the structure and codes of the official bulk-upload instructions, but the portal validates each communication and shows you the errors in the batch. If something is rejected, fix the detail here or in the portal and upload again.
Is it free?
Trying it with one document is free and needs no signup. To generate the XML you create a free account with 20 pages a month; each document is one page.
Which details are not on the document?
Each guest's home address, a phone or email, your establishment code, the booking reference and dates, the payment method and, for minors, the relationship. The tool asks for them on one screen.
What is the support number?
On the Spanish DNI it is a code of three letters and six digits, different from the 8-digit-and-letter number. On the DNI 3.0 and 4.0 it sits in the first line of the MRZ; we read it from there and check its check digit.
Where does the document data go?
In the free trial the document is not kept. In your account the data stays available for you to download and delete whenever you want.
