How it works
1. Upload the document
A photo or PDF of the passport or ID card, also from your phone, by WhatsApp, Telegram or email.
2. Check the guests
Set arrival and nights, and whether they are individual guests, a family or a group. Anything the document doesn't show is flagged for you to fix.
3. Download the file
A .txt file in the official record layout (168 characters per guest), ready for the file upload on Alloggiati Web.
What goes into each record
The file follows the layout in the Polizia di Stato manual and uses the tables downloaded from the portal: no codes to look up by hand.
- Guest type: individual guest, head of family or group leader with a document; family members and group members without a document, right after their head
- Surname and names without accents, as the portal accepts them
- Sex, date of birth and place of birth: comune code and province for people born in Italy, the state for people born abroad
- Citizenship as a state code (reading the document's MRZ makes it reliable)
- Document type and number, and place of issue: the comune for Italian documents, the state for foreign ones
The rules that matter
- Each guest must be reported within 24 hours of arrival (within 6 hours for one-day stays), even for a single night.
- The portal only accepts arrivals dated today or yesterday: build the file on the arrival day.
- Up to 30 days of stay per record and up to 1,000 records per file.
- Family members (type 19) and group members (type 20) are registered without a document, right after the head of family or group leader.

Why a file instead of the form
The portal's form makes you look up the comune, state and document-type code for every guest. With the file you upload everyone at once: the codes are already the official ones and the names already without accents. For a group of ten it is the difference between half an hour of copy and paste and one minute.
Frequently asked questions
Does WhappScan upload the file to the portal?
No. You download the file and upload it with your own Alloggiati Web credentials, using the file upload. Your portal credentials stay with you.
Is it free?
Trying it with one document is free and needs no signup. To generate the file you create a free account with 20 pages a month; each document is one page.
What if the document doesn't show the country of birth?
Many passports only print the city. We then suggest the country of citizenship and flag it, so you can change it in one click if it differs.
Does it work with Italian ID cards?
Yes. For people born in Italy we use the comune code and province from the official table, and for the place of issue the comune that issued the document.
Where does the document data go?
In the free trial the document is not kept. In your account the data stays available for you to download and delete whenever you want.
