1. Information We Collect

WhappScan collects information to provide better services to all our users. We collect:

  • Account Information: Email, phone number, and name provided during registration.
  • Extracted Data: Data extracted from documents you process through our service. This data is stored encrypted.
  • Usage Data: Information about how you use our website and service, collected via Google Analytics.
  • In-app Activity: Inside the WhappScan web app we record which pages you visit and which actions you take (for example opening the pricing page, starting a checkout, uploading or exporting a document), together with your account, plan and remaining credits, to understand how the product is used and to improve it. These events never include the content of your documents, your IP address or the data extracted from them, and are deleted after 180 days. You can opt out by enabling "Do Not Track" in your browser or by writing to us.
  • Invitation program: If you join through a friend's invite link, we keep the invite code in a cookie for up to 30 days and store it on your account, and on your friend's, so that we can credit both of you with the free pages. To prevent abuse of the program we also count sign-ups per month using a one-way, keyed hash of your network address (never the address itself); that counter is not stored in your profile and is not used for anything else. We never send messages to your contacts: you share your link yourself.

2. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve our services.
  • Process your documents using AI (AWS Bedrock).
  • Manage your account and provide customer support.
  • Send you technical notices, updates, and security alerts.

3. Data Storage and Security

All data is stored in the European Union (AWS region eu-north-1). We use industry-standard encryption (AES-256) to protect your extracted data.

Document Retention: We do not store the original documents (images/PDFs) after processing. The extracted JSON data is stored for 1 year to allow you to consult your history.

4. Data Sharing

We do not share your personal data with companies, organizations, or individuals outside of WhappScan except in the following cases:

  • With your consent.
  • For external processing: We use trusted service providers like AWS (for infrastructure and AI) and Stripe (for payments).
  • For legal reasons: To meet any applicable law, regulation, or legal process.

5. Your Rights (GDPR)

Under the GDPR, you have the right to access, rectify, or erase your personal data. You also have the right to data portability and to object to the processing of your data.
