When clients only send PDF bank statements, the fix has two parts: first try to get the data at source (a bank feed, or a CSV export from their online banking), and for the clients who will never do that, turn the PDFs into rows with a converter and check each statement against its own balances before it goes into the books. What costs time is not the conversion, it's finding the one transaction that went missing.
Here is a workflow that works for a practice with dozens of small clients, and how long each step should take.
Why clients keep sending PDFs
It's rarely laziness. The typical reasons:
- The bank feed broke โ consent expired, the client changed bank, or the account is with a small bank the accounting software doesn't connect to.
- Several banks, several logins. A sole trader with a business account, a personal card used for business, and a savings account won't download three CSVs.
- The statement is what they have. Many clients only ever open the monthly PDF the bank emails them.
- Year-end surprises. Twelve statements for an account nobody told you about, sent in March.
Have a bank statement to hand? Upload it and see every transaction as a row, with a check that the balance adds up. No account, no card.

Step 1: get structured data where you can
For each client, ask once โ and write down the answer:
- Can we connect a bank feed? Where the accounting software supports the bank, this is the best option: no files at all.
- Can you export CSV from online banking? A two-minute job for the client, if you send them a short guide with screenshots for their bank.
- Which accounts exist? Get the full list, including cards and savings, so a missing account doesn't turn up at year-end.
Everything that still arrives as a PDF goes to step 2.
Step 2: one place for the PDFs
Decide where statements arrive: one email address, one shared folder, or WhatsApp. Clients already send photos of receipts on WhatsApp; letting them forward the statement PDF there too removes the "I'll email it later" delay. What matters is that it is one channel, not five.
Step 3: convert, then check the balance
Convert each statement to rows โ date, description, signed amount, running balance. Then apply the rule that catches every silent error:
opening balance + sum of transactions = closing balance
If it holds, the statement is complete. If it doesn't, the difference tells you what to look for: an amount equal to a missing transaction, or double the amount of one with the wrong sign. When the statement prints a running balance per line, you can find the exact row. We explain the Excel formulas in how to convert a bank statement PDF to Excel.
Step 4: import and keep the evidence
Import the checked rows into the accounting software or the client's spreadsheet, and file the original PDF next to them. If a figure is ever questioned, the PDF is the evidence and the balance check shows the conversion was complete.
How long it should take
| Step | Per statement |
|---|---|
| Converting a text PDF with a converter | Seconds |
| Balance check | Automatic, or ten seconds with a formula |
| Fixing a mismatch | A couple of minutes, if you know the row |
| Typing it by hand | Tens of minutes for a busy month |
Where WhappScan fits
WhappScan converts the statements that still arrive as PDFs or photos and runs the balance check on every one: every transaction with date, description, signed amount and balance, and a clear "balance checks out" or "off by X, check row N". Clients can send the statement over WhatsApp without installing anything, and you export all the transactions to one Excel sheet.
